Event Assistant - Internship


You will be supporting internal and external events.

Internal Events: management meetings, online meetings, workshops, trainings.

External Events: summit, exhibitions, trainings, networking events, press conferences, webinars, online and streamed events.

You will be following-up the entire process of each event with the Event Manager and have autonomous implementation of defined project parts:

  • Contact with the external organisers
  • Visual identity of the event
  • Launch and follow-up of the invitations
  • Build a network of reliable and competent suppliers (catering, communication material, print, furniture, delivery,…)
  • Representation of EBRAINS during events (onsite or online)
  • Collect statistics and success indicators, follow-up communication with potential new users

Extra tasks:

  • Updating events calendar
  • Support in general administrative and organisational activities
  • Support of the Event Manager in administrative tasks and correspondence


  • Proficient in English (French is optional)
  • Excellent command of MS Office Programmes
  • Experience with Adobe Photoshop and InDesign preferred
  • Responsible and independent work manner
  • Experience in event organisation preferred
  • Experience with the organization and hosting of virtual events or webinars (especially Zoom) preferred
  • Flexible, good communicator and team player
  • Available for travel (National and International)
