Events Manager
We are seeking an experienced and dynamic Events Manager to organize EBRAINS’ presence and visibility at key (scientific) events and conduct proactive outreach to raise interest for our Research Infrastructure among the audiences of these events. The ideal candidate is creative, detail-oriented, and possesses strong organizational and communication skills. This role involves coordinating with cross-functional teams and external vendors to ensure events are successful, impactful, and align with the association’s objectives.
Key Responsibilities:
Event Planning and Strategy:
Develop and execute event strategies aligned with organizational goals.
Plan events including scientific conferences, EBRAINS summits, webinars, exhibitions, and other special events.
Create and manage detailed event plans, timelines, and budgets.
Vendors and Stakeholders Coordination:
Source, negotiate, and manage relationships with vendors, venues, and suppliers.
Liaise with various stakeholders to understand event objectives and requirements.
Logistics Management:
Oversee event setup, logistics, and on-site management to ensure smooth execution.
Coordinate event technology and manage audio-visual needs.
Marketing and Promotion:
Collaborate to develop promotional materials and campaigns for the promotion of the events.
Manage event registrations, ticketing, and attendee communications.
Post-Event Analysis:
Conduct post-event evaluations to gather feedback and measure success.
Prepare comprehensive reports on event outcomes, and areas for improvement.
Qualifications:
Education and Experience:
Preferable a degree in Event Management, Marketing, or a related field and /or minimum of 3-5 years of experience in event planning and management.
Proven track record of managing events of various sizes and complexity.
Skills:
Exceptional organizational and multitasking abilities.
Strong communication and interpersonal skills.
Proficiency in event management software and tools (e.g., Eventbrite, Cvent, Trello).
Organization of events in the framework of European funded projects.
Creative problem-solving, flexibility and adaptability under pressure.
Experience in graphic design is an advantage.

Technical Project Liaison
The EBRAINS AISBL, based in Brussels, Belgium is looking for a:
Technical Project Liaison (position based in Brussels, Belgium)
Activities:
Organize and monitor progress of the technical aspects of projects in the portfolio of EBRAINS AISBL
Interact with all relevant technical teams, in the AISBL and elsewhere, to review and prepare progress reports and project plans, and contribute to the assessment of technology performance and impact indicators to detect and mitigate key EBRAINS risks
Interact with the EBRAINS Management Board, the technical teams, the National Nodes offering services, and the users, ensuring requirement satisfaction across all, correct requirement translation to technical specification, and smooth information flow on technical matters between all
Support the Management Board and the technical teams in developing strategies for the building and operation of the EBRAINS Research Infrastructure
Coordinate and manage the deployment, support and maintenance of the EBRAINS website and other services of the EBRAINS AISBL internal IT infrastructure
Participate in preparing technical proposals, interacting with potential partners and funders
Profile:
Master’s degree in a field relevant to the position.
8-12 years of confirmed advanced experiences in a relevant field of life, computer, or library and information science, preferably for an academic institution or a non-profit organization and in the science fields.
Proven writing skills and track record of drafting content for different audiences.
Excellent speaking and writing/editing skills in French and English.
Interest in (neuro)science and technology topics.
Familiarity with academic research and/or the science and technology sector of advantage.
Preferably knowledge of European research funding landscape.
Strategic mindset with a hands-on approach, ability to work in a fast-paced, deadline-driven, international environment.
Communicative, well-organized and pro-active.
Self-driven, with the ability to recognize and act upon opportunities to raise the profile of EBRAINS.
A can-do attitude, eagerness to grow and to learn, and will do so proactively by own initiative through the guidance of manager and team members.
